TEACHVAULT PRIVACY POLICY
Last Updated: January 3, 2026

1. INTRODUCTION
TeachVault ("TeachVault", "we", "us") is an offline-first mobile app designed for teachers to manage classes, students, and attendance.
We respect your privacy and are committed to protecting your data. This Privacy Policy explains what we collect, why we collect it, and your choices.
IMPORTANT: TeachVault is primarily a teacher tool. Teachers/institutions are responsible for ensuring they have the appropriate authority/consent to store student information.
---
2. DATA WE COLLECT
2.1 Data You Create In The App (stored on your device)
• Teacher profile: name, email (optional, if you create an account)
• Class data: class names, subjects, schedules, settings
• Student data: names, roll numbers, and optional fields you choose to add:
- Email address
- Phone number
- Parent/guardian phone number
- Parent/guardian email
- Student category (Current/Repeater/D2D)
- Notes or remarks
(You can add students manually, via bulk roll number generation, or import from CSV/Excel files)
• Attendance data: date, time, attendance status (present/absent/late/excused), session history, and audit trails. This data is stored locally on your device and included in cloud backups if you enable them.
• Notes/metadata you choose to enter
2.2 Device & Diagnostics Data (limited, privacy-preserving)
When enabled, we may collect:
• Device information: device model, OS version, app version, language
• Diagnostic events: crash reports and error logs (to fix bugs and improve stability)
We do NOT collect advertising identifiers for tracking.
2.3 Location & Camera (future; not used in the current release)
The current TeachVault release does not request or use location or camera permissions.
In a future update, TeachVault may introduce optional QR attendance features that can use:
• Location (when you use QR geo-fencing) to verify classroom presence for attendance integrity
• Camera (when you scan QR codes) to mark attendance
If introduced, these permissions will be requested only when needed and will not be used for advertising or background tracking.
---
3. HOW WE USE DATA
We use data to:
• Provide core functionality (classes, students, attendance, reports, exports)
• Protect integrity and prevent misuse (basic anti-abuse checks and integrity safeguards)
• Provide backups/restores you request or enable
• Improve performance, reliability, and security (diagnostics, crash reporting if enabled)
We do NOT:
• Sell your data
• Use your data for targeted advertising
• Share student data with third parties for marketing
---
4. STORAGE, SECURITY, AND BACKUPS
4.1 Local-first storage
• Your primary data is stored locally on your device (SQLite).
• Sensitive fields are encrypted on-device (industry-standard encryption).
4.2 Cloud backups (optional; you control this)
TeachVault offers optional encrypted backups to help you restore data if you lose your device.
Depending on the feature you enable, backups may use:
• Google Firebase Storage (safety backups when signed in, if enabled)
• Google Drive (manual/optional)
• iCloud Drive (optional, where supported)
Backup security:
• Backups are encrypted on your device before upload.
• We do not have access to your unencrypted backup contents.
Note: Backups run when the app is in use and you are signed in + online (not guaranteed background backups).
4.3 Security measures
• Encryption at rest (on-device) and encryption in transit (HTTPS/TLS) for network operations
• Optional app lock (PIN). Biometric authentication may be introduced in a future update.
No system is perfect. You are responsible for keeping your device and accounts secure.
---
5. SHARING & THIRD-PARTY SERVICES
We share data only:
• When you choose to export/share files (CSV/PDF/Excel) or send backups
• With service providers you enable to deliver app functionality:
- Google (Firebase services) for sign-in/cloud storage (if you enable)
- Sentry for crash reporting (only if enabled; configured to avoid sending unnecessary personal data)
• When required by law, or to protect rights/safety
Third-party services have their own privacy policies and practices.
---
6. YOUR CHOICES & RIGHTS
In-app controls:
• Export your data (portability)
• Delete your data (including a full wipe option)
• Enable/disable diagnostics/crash reporting (where available)
• Enable/disable optional backup features
• Grant/deny optional permissions (notifications, etc.)

7. CHILDREN'S PRIVACY
TeachVault is intended for teachers and institutions, not for children to use directly.
We do not knowingly solicit accounts directly from children. Teachers are responsible for obtaining any required consents for student data they enter.
---
8. DATA RETENTION
• Local data remains on your device until you delete it or uninstall the app.
• If you enable cloud backups, backup files remain available until you delete them or remove your account/access.
• Deleted items may be retained temporarily (e.g., recycle bin) based on app features/settings.
• Diagnostics data (if enabled) is retained for a limited period consistent with provider settings and for troubleshooting.
---
9. INTERNATIONAL TRANSFERS
If you enable cloud features, data may be processed/stored on servers outside your country (e.g., Google infrastructure).
We use encryption in transit and, for backups, encryption before upload.
---
10. CHANGES TO THIS POLICY
We may update this Privacy Policy. We will update the "Last Updated" date, and may provide in-app notice for material changes.
